The short answer

San Antonio has the longest summer of the big Texas metros, about 111 days above 90°F, and a handful of freezing nights that do disproportionate damage when they come. An answering service for a contractor here has to keep up with a summer of no-AC calls and a freeze morning of burst pipes. The assistant answers every caller at once, raises the emergencies, takes each address so the day can be routed, and texts anyone it misses, only ever as a reply, as Texas's newer texting law makes wise.

What is different about San Antonio

  • San Antonio's airport averages 111 days a year at 90°F or above, more than Houston's 102 and Dallas-Fort Worth's 95, on the 1991 to 2020 normals. By that measure it has the longest summer of the big Texas metros, and the busiest months for an HVAC phone start earlier and end later.
  • It also averages about 16 nights at or below freezing. That is rare enough that a hard freeze catches homes unprepared, and the February 2021 freeze showed what happens when a hard one arrives: burst pipes across the city on the same morning.
  • The metro has 786 plumbing and HVAC establishments, three quarters with fewer than ten staff, a much smaller pool than Houston's. In a freeze or a heat wave each of them is overwhelmed at once, and callers try the next number fast.
  • Electrical shops here average almost 18 staff, larger than plumbing and HVAC. The case for the assistant there is evenings and weekends, which the per-number setting can cover alone.

A freeze morning in Stone Oak

  1. A hard freeze hits overnight and by 7am a pipe in a garage wall has split in a house in Stone Oak.
  2. The owner calls a plumber who is already on the third burst pipe of the morning; the assistant answers with its disclosure.
  3. Burst and water everywhere are emergency words, and the lead is raised as the caller describes it.
  4. It takes the address and a callback number, reads them back, and gives the plumber a full list of the morning's addresses to route between.
  5. The emergency text tells the caller to leave and call 911 if water reaches anything electrical.

Is it worth it for the few freezes a year?
The freezes are the dramatic case. The everyday case is a summer of AC calls arriving while your techs are on roofs and in attics, and those are most of the calls you miss.
Can it text customers about specials?
No. The text-back only replies to people who called, and it never sends offers. Under Texas's SB 140 that is the narrowest and safest kind of text.
Will callers mind talking to an AI?
Some will, and they can hang up and still get a text. Most callers with a broken air conditioner care more about being answered than by whom.
