Answering service for Phoenix contractors

For Phoenix-area HVAC, plumbing, electrical and roofing contractors: an assistant for a metro that averages 169 days a year above 90°F, where a dead air conditioner in July is an emergency and should be answered like one.

Written by Christopher Gillig, who files the carrier registrations behind these numbers and configures the assistants. Last reviewed October 6, 2026.

The short answer

Phoenix averages 169 days a year above 90°F, so for most of the year an air conditioning failure is urgent, and in July every caller says the same thing. An answering service for a Phoenix contractor has to answer all of them and tell them apart, which the assistant does by the words that say who is in the house: elderly, newborn, infant. It takes every address, books where you allow it, and texts anyone it misses. Arizona lets one party record; the assistant records no audio regardless.

What is different about Phoenix

  • Sky Harbor averages 169 days a year at 90°F or above and a July average high of about 106°F, on the 1991 to 2020 normals. Its cooling load, 4,608 degree days, is the highest of any station on these twenty pages. In Phoenix an air conditioning failure from May to October is never a routine call.
  • Because almost every summer call is a no-AC call, the words that separate them are about people: elderly, newborn and infant are emergency words in the heating and cooling configuration, and they are how the assistant tells the most urgent of a hundred similar calls apart.
  • Phoenix roofing establishments average 16 staff and only 73 percent have fewer than ten, large for roofing. Monsoon storms bring sudden leak calls, and bigger roofing companies lose those to the hours their office is closed.
  • Arizona allows one party to a call to record it. The assistant still records no audio and opens with its disclosure, because the same greeting answers callers in every state.

A July evening in Mesa

  1. At 6pm in July an air conditioner fails in a Mesa house where a newborn is asleep. The parent calls the company that installed it.
  2. The assistant answers, says it is an AI that takes notes, and asks who is calling.
  3. Not cooling and newborn are both emergency words, and the lead is raised above the other no-AC calls that came in that hour.
  4. It takes the address and a callback number, reads them back, and books the first free slot if AC repairs are bookable for your business.
  5. The emergency text goes out, and the dispatcher sees which of the evening's calls to make first.

What a Phoenix caller receives

missed call textback

This is Northgate Heating, sorry we missed your call. What is going on, and where are you? Reply here, or BOOK to book.

In a Phoenix summer the reply to this usually names who is in the house as well as the problem, and those words decide which call goes first.

appointment reminder

Northgate Heating is booked for Tuesday at 9:00 AM. Please clear access to the unit. Reply if anything changed.

Many Phoenix units sit on the roof or in a locked side yard. Asking for access the night before saves a tech standing in 106°F heat at a gate.

Questions Phoenix contractors ask

How does it prioritise when every call is no AC?
By the people in the house. Elderly, newborn and infant are emergency words, so those calls rise above other no-AC calls, and you see the caller's own words on every lead to judge the rest.
Can it book same-day repairs?
If you make AC repair bookable, it offers the earliest time your calendar shows as free, including today. If you would rather triage first, leave it off and the assistant takes the details instead.
What about monsoon roof leaks?
Leak, leaking and water coming in are emergency words in the roofing configuration, so a monsoon evening's calls are raised as they arrive.
