The short answer

In New York City the calls that decide a heating or plumbing contractor's reputation come in heat season, often from a super or a landlord with a building full of cold tenants and a legal minimum to meet. An answering service here has to pick up at night, recognise no heat as an emergency, and get the full address, apartment included. The assistant does that, raises the lead, and if it is switched off the caller is texted within about a minute instead.

What is different about New York City

  • New York City's heat season runs from October 1 to May 31. In that period building owners must keep apartments at 68°F during the day whenever it is below 55°F outside, and at 62°F overnight whatever the weather. A boiler failure in a rental building is a legal deadline for the owner, which is why the call to the heating contractor comes fast and does not wait for the morning.
  • The metro area counts 7,640 plumbing, heating and air conditioning establishments, more than New York State's own total, because the Census metro includes northern New Jersey. A contractor here competes across a river, and a caller who reaches voicemail has thousands of other names a search away.
  • The metro has 626 roofing establishments, fewer than Dallas-Fort Worth's 907, in a far larger population. Flat roofs on apartment buildings are a different trade from shingles on houses, and the people who call about them are usually managers, not owners.
  • An address in this city is not complete without an apartment or unit number, and a street address read back without one sends a tech to the lobby with no way up. The assistant reads the whole address back before it books anything.

A boiler down in December

  1. A super in a Bronx walk-up calls on a December night: the boiler is down and tenants are already complaining.
  2. The assistant answers, says it is an AI that takes notes, and asks who is calling and what has happened.
  3. No heat is an emergency word, so the lead is raised the moment the caller says it, and elderly or infant raise it as well if a tenant is mentioned.
  4. It asks for the building address and reads it back, including the unit or the basement entrance if the caller gives one.
  5. Your on-call tech opens a lead that says who called, for which building, and in their own words what the boiler is doing.

In heat season a dead boiler is a code violation in waiting, and the person calling is under pressure from a whole building. This tells them it is in hand without promising an arrival time nobody has agreed.

Questions city contractors ask

Most of my calls come from property managers. Does that change anything?
Not much. The assistant asks who it is speaking with and which building, and the lead keeps both. If the same manager calls about several buildings, each call carries its own address.
Does it speak to tenants differently from owners?
It asks the same questions of everybody: who is calling, what is happening, where, and a number to call back. Whether the job is billable to the tenant or the landlord is your conversation to have, not the software's.
Can we keep our existing number?
Yes. Your number stays exactly where it is. What changes is what happens when nobody picks it up.
