The short answer
In New York State the calls a contractor cannot afford to miss are winter calls: no heat, frozen pipes, a boiler that quit before dawn. An answering service here should answer at any hour, recognise those words, and leave a complete lead for the morning rather than a voicemail. The assistant does that, and when it is switched off the caller still gets a text within about a minute. New York lets one party record, but the assistant announces its notes anyway.
What is different about New York
- New York has 838 roofing establishments against 7,061 in plumbing, heating and air conditioning, about one roofer for every eight. No other large state is that lopsided. The phone that matters most here belongs to the heating and plumbing trades, and the configuration that answers it is built around no heat, frozen pipes and burst.
- Buffalo averages 124 nights a year at or below freezing; Central Park averages 66. A statewide business, or one that sells into both, is dealing with two different winters, and the upstate one starts earlier and ends later.
- New York is a one-party state for recording, under Penal Law section 250.00 and the sections after it. That makes the disclosure in the assistant's greeting a courtesy here rather than a requirement, and it stays in because callers are owed it everywhere.
- 78 percent of the state's plumbing and HVAC establishments have fewer than ten staff. Most of them have no one whose job is to answer the phone at six in the morning in January, which is when the no-heat calls start.

A boiler that stops before dawn
- The first hard freeze reaches Buffalo in late autumn and a boiler stops overnight. The homeowner calls at 5:40 in the morning.
- The assistant answers, gives its disclosure, and asks who is calling. A frightened caller often names the problem before it can ask.
- No heat is on the emergency list, and so are elderly, newborn and infant. Any of them raises the lead for whoever is first on in the morning.
- It takes the address and a callback number and reads both back, then tells the caller somebody will be in touch, without promising a time.
- The lead is waiting with the caller's own words when your first person opens the app, rather than as a voicemail somebody has to replay.

Most New York heating runs on gas or oil, so a no-heat reply sometimes comes with a smell. This acknowledges and points to 911, and advises nothing else by text.

Frozen and burst pipes come in batches on the coldest nights. Asking where in the first text lets a plumber group the morning's calls by street rather than by the order they arrived.
Questions New York owners ask
- Can it answer overnight in winter only?
- Each number has its own setting, and you can change it whenever you like. Many heating companies leave it on missed calls in summer and switch it to answer everything once the first cold week arrives.
- Does it know the difference between no heat and a noisy boiler?
- By the words used. No heat is an emergency on the heating list; making noise and stopped working sit one level lower. A calm caller who says no heat is raised all the same, which is the point of matching words rather than tone.
- We work in the city and upstate. Two setups?
- One business can have more than one number and more than one location, and each number can behave differently. Locations are how you sort the leads, not separate accounts.
