Answering service for Dallas-Fort Worth contractors

For Dallas-Fort Worth roofing, HVAC, plumbing and electrical contractors: an assistant for the metro with more roofing companies than any other on this list, nearly all of them small, built to answer a hail week.

Written by Christopher Gillig, who files the carrier registrations behind these numbers and configures the assistants. Last reviewed October 6, 2026.

The short answer

Dallas-Fort Worth has more roofing companies than any other big metro on these pages, and almost all of them are small crews. When hail crosses the metro their phones flood while the owners are on roofs, and the homeowners call several companies at once. An answering service here has to answer all of them, take each address, and book inspections before the next roofer does. The assistant does that, and texts anyone it misses as a reply, never a pitch.

What is different about Dallas-Fort Worth

  • Dallas-Fort Worth has 907 roofing establishments, more than the New York, Los Angeles or Chicago metros, each of which is larger. 89 percent have fewer than ten staff, the highest share of any metro on these pages. DFW's roofing trade is hundreds of small crews, and the owner of each one is on a roof when the phone rings.
  • The roofing configuration treats hail, storm, tree on and blown off as emergency words. After a North Texas hailstorm nearly every caller uses one of them, and the address on each lead is what lets a crew inspect a whole street in one visit.
  • DFW averages 95 days a year at 90°F or above and 29 nights at or below freezing. HVAC companies get a long summer, and plumbers get enough freezes to matter, as the February 2021 storm showed across the metro.
  • SB 140 brought text messages under Texas's telephone solicitation law in 2025, A text-back that replies only to a homeowner who called is a different thing from a roofer texting a whole neighbourhood after a storm, and it stays that way.

A hail evening in Collin County

  1. A hailstorm crosses Plano and Frisco on a May evening. Within the hour a small roofing company's phone has more calls than it can count.
  2. The assistant answers every one at the same time, with its disclosure, and asks each caller who they are and what happened.
  3. Hail, storm and leaking raise the leads; a caller with water coming in through a ceiling is raised the same way.
  4. It takes every property address and reads it back, and books inspections into free slots if you allow inspections to be booked.
  5. By morning the owner has a list of addresses, grouped by what each caller said, instead of a full voicemail box.

What a DFW caller receives

missed call textback

This is Cedarline Roofing, sorry we missed your call. What is going on, and where are you? Reply here, or BOOK to book.

After a DFW hailstorm a homeowner calls three or four roofers. The first to reply with a way to book usually gets the inspection.

appointment reminder

Cedarline Roofing is booked for Tuesday at 9:00 AM. Please leave the driveway and gates clear. Reply if anything changed.

In a hail week inspections are booked back to back across a suburb. One blocked driveway pushes every later visit back.

Questions DFW contractors ask

How many calls can it take at once after a storm?
Each call is answered on its own, so a burst of calls does not create a queue or a busy signal. The limit after a storm is your crew's hours, and the assistant's job is a complete, addressed list for them.
Can it talk to homeowners about insurance claims?
No. It takes what they said, including any mention of an adjuster, and leaves the conversation to you. Getting insurance wrong costs a homeowner money.
Is it worth it outside storm season?
Inspections, repairs and estimates come in all year, and each one missed goes to another of the metro's hundreds of roofers. Plenty of owners run it on missed calls only between storms.
