Answering service for California contractors
For heating, plumbing, electrical and roofing businesses in California: an AI assistant that answers the calls your crew cannot, tells every caller it takes notes before it takes any, and texts the ones nobody reached.
Written by Christopher Gillig, who files the carrier registrations behind these numbers and configures the assistants. Last reviewed October 6, 2026.
The short answer
An answering service for a California contractor has two jobs a generic one does not. It has to handle consent, because capturing a call here needs everyone on it to agree, so the assistant says it is an AI and that it takes notes in its very first sentence. And it has to take electrical calls as seriously as heating and plumbing ones, because California has nearly as many electrical contractors as plumbing and HVAC firms. Beyond that it does what a good receptionist does: gets the name, the problem and the address, books the job where you allow it, and texts anyone it could not reach.
Consent, the California way
A summary to plan with, not legal advice.
- Recording needs everyone
- Section 632 covers confidential communications and section 632.7 covers calls involving a cellular or cordless phone. Both require the consent of all parties.
- No audio is kept
- Call recording is switched off at the carrier for every business we run. That is a setting on the phone system, not a sentence in a policy, and it applies in every state, not only this one.
- The notes are announced
- The assistant's first words are: Thanks for calling, I'm an AI assistant and I take notes on what we discuss. The caller hears that before saying anything, and can hang up if they would rather not.

What is different here
- California has 10,162 electrical contractor establishments against 11,686 in plumbing, heating and air conditioning. That ratio is the highest of the ten most populous states; in Texas and Florida electrical runs at about two thirds of the plumbing and HVAC count. A phone setup sold here has to treat a panel call as seriously as a furnace call, which is why the electrical configuration carries its own emergency words, hot outlet and sparking among them.
- The state has two climates as far as a contractor's phone is concerned. At LAX the 1991 to 2020 normal is between two and three days a year at 90°F or above. Sacramento averages 66. A coastal HVAC firm and a Valley HVAC firm have their worst week for missed calls at different times of year, and the setup has to suit both.
- Penal Code section 632 makes it a crime to record a confidential communication without the consent of every party, and section 632.7 does the same for calls that involve a cell phone, which is most calls a contractor gets. The assistant records no audio. It does keep a written transcript, so it says so in its opening line, before the caller has said anything to write down.
- 79 percent of California's plumbing and HVAC establishments have fewer than ten staff. In a business that size the person who would answer the phone is the person on the ladder, so a missed call is not a staffing lapse. It is what doing the work looks like.
A July call in Sacramento, step by step
- A homeowner in Sacramento calls in July because the air conditioning quit. Both techs are on other jobs and the phone rings out.
- With the assistant switched on, it picks up and opens with the disclosure: it is an AI assistant and it takes notes. That sentence is said before a California caller has given it anything.
- It asks who it is speaking with, what is going on and a number to call back on, then gets the street address of the job and reads it back.
- If AC repair is a job you marked bookable, it checks your appointments and the busy times on a calendar you connected, offers a time that is genuinely free, and books it.
- If the call ends without a booking, or the assistant is off on that number, the caller gets one text within about a minute asking what is going on and where they are.

This is Northgate Heating, sorry we missed your call. What is going on, and where are you? Reply here, or BOOK to book.
A Valley homeowner with a dead air conditioner in July calls the next listing within minutes. This reaches them while they are still choosing, and the two questions in it are the ones that decide who goes out first.
emergency ack
Hi Dana, Halden Electric has your message and is treating it as urgent. Do not touch it. If you smell burning, call 911.
Sent when a reply names something like sparks or a hot outlet. With electrical work this large a share of the California trades, it is the safety line most worth getting right, and it deliberately advises nothing past it.
Questions California owners ask
- Is an AI answering service legal in California?
- Answering a business call with software is legal. What the law cares about is capturing the conversation without consent, and the assistant deals with that by announcing, in its first sentence, that it is an AI and that it takes notes. It records no audio. The greeting is printed above, so your own lawyer can read exactly what callers hear.
- Does it work for EV charger installers?
- Yes. EV charger installs are a job type in the electrical configuration, with their own words to listen for, and you choose whether the assistant may book them by itself or only take the details.
- We cover both LA and the Inland Empire. Is that a problem?
- No. The area you cover, your hours and the jobs it may book are your settings, not ours. What genuinely changes across California is when the phone gets busy, which is what the weather table above shows.
